How do I get started with Meeting Notes Pro?

You can go from installation to your first exported document in about 5 minutes. Install the app, activate your license, upload a transcript, approve PII detection, and export your results.

Step 1: Install the App

  1. Download MeetingNotesPro-1.1.0_x64-setup.exe
  2. Run the installer and follow the prompts
  3. Launch Meeting Notes Pro

System requirement: Windows 10 or later

Step 2: Activate Your License

When you first launch Meeting Notes Pro, you'll see a license activation screen.

  1. Enter your license key in the field provided
  2. Click Activate
  3. You'll see your subscription status confirmed (Beta, Trial, or Active)
  4. The app will open to the Dashboard

Step 3: Upload a Transcript

  1. Click Process Transcript in the sidebar (or press Ctrl+2)
  2. Drag and drop your file into the upload area, or click to browse for a file
    • Supported formats: .txt, .docx, .pdf
    • Maximum file size: 5MB
  3. Select a client from the dropdown, or click Add New Client to create one
  4. Optionally select a template and writing style

Step 4: Review PII Detection

Meeting Notes Pro scans your transcript for personal information using a pattern-matching engine that runs entirely on your computer. Nothing is sent anywhere during this step.

  1. Review the side-by-side comparison:
    • Left panel: Your original text with personal information highlighted
    • Right panel: Tokenized text with placeholders like [NAME_001], [EMAIL_001]
  2. Check the colour-coded legend to see what types of information were detected
  3. Click Approve to proceed, or Cancel to stop

Your clients' personal information never leaves your computer. Only the tokenized text (with placeholders) is sent for AI processing.

Step 5: Wait for AI Processing

A progress overlay shows four steps completing:

  1. Preparing transcript
  2. Analyzing content
  3. Generating outputs
  4. Quality validation

Typical processing time: 15–30 seconds. You can cancel at any time.

Step 6: Edit in the Canvas Editor

Your results appear in a dual-pane editor:

  • Left pane: Meeting summary
  • Right pane: Client email

You can edit directly in either pane. Your work auto-saves every 2 seconds.

AI Refinement Chat: Click the chat icon in the toolbar to open the AI assistant. Type a request like "make the summary shorter" or "add action items to the email." Review the suggested changes with Accept or Reject.

Step 7: Export Your Documents

  1. Click the Export button in the Canvas Editor toolbar
  2. Choose your format:
    • Summary: saves as a Word document (.docx)
    • Email: opens as an Outlook draft (.eml)
    • Both: creates both files
  3. PII is automatically restored in your exports: [NAME_001] becomes the real name again
